1. Booking & Venue Requirements 1.1 Confirmation: A booking is only confirmed upon receipt of a £150.00 non-refundable booking fee and a signed contract. 1.2 Venue Info: The Client must provide full venue names and addresses (including postcodes) at the time of booking to secure the date and allow for travel planning from the Photographer’s base in WS9.

2. Payment & Post-Processing 2.1 Final Balance: The remaining balance is due in full 28 days prior to the event date.2.2 Delivery Pipeline: Professional post-processing, editing, and bespoke engraving of USB media will only commence once the final balance has been cleared.

3. Travel & Accommodation 3.1 Standard Travel: Travel within 45 miles of WS9 is included. 3.2 Surcharge: Travel between 45 and 100 miles is charged at £0.45 per mile3.3 Overnight Stay: Any event located over 100 miles from WS9 requires the Client to provide or fund two nights’ hotel accommodation for the Photographer to ensure safety and performance.

4. Artistic Style, Lighting & Planning 4.1 Professional Discretion: The Photographer uses professional discretion and specialized equipment (including MagMod gels and lighting tools). The Photographer is not liable for missed shots due to building obstructions, shadows, or Client unavailability during scheduled “Golden Hour” windows. 4.2 Cooperation: The Photographer will use tracking apps to advise on the best lighting times; however, the final result is subject to weather conditions and venue access.

5. Conduct & Safe Working Environment 5.1 Harassment: The Photographer operates a zero-tolerance policy regarding physical or verbal harassment. If the Photographer feels unsafe or is subjected to abuse by the Client or guests, they reserve the right to cease work immediately. No refund will be issued. 5.2 Breaks: For bookings of 8 hours or more, the Client shall provide a 20-minute break for the Photographer to consume their own food. The Photographer does not require a vendor meal to be provided.

6. Equipment & Liability 6.1 Damage: The Client assumes full financial responsibility for any damage or theft of the Photographer’s equipment caused by themselves or their guests. Repair or replacement costs must be settled within 14 days of the issued invoice.

7. Cancellation & Force Majeure 7.1 Cancellation: A 14-day cooling-off period applies from the date of booking. After 14 days, the booking fee is forfeited. Date changes incur a £50 administration fee and are subject to availability. 7.2 Force Majeure: Neither party shall be liable for failure to perform due to “Acts of God” or circumstances beyond reasonable control (e.g., national emergencies, severe weather, or venue destruction).

8. Delivery & Data Responsibility 8.1 Data Transfer: Final images are delivered via bespoke USB. Responsibility for the safety and backup of the data transfers to the Client immediately upon delivery. 8.2 Storage: The Photographer will store digital backups for 12 months post-event. After this, data may be deleted. 8.3 Redelivery: Any request for image redelivery within this 12-month window is subject to an administration and media replacement fee.

9. GDPR & Image Usage 9.1 Model Release: The Client warrants they have informed guests that a photographer will be present. 9.2 Promotional Use: Booking the Photographer deems permission for images to be used for promotional purposes (social media, website, or print) unless an opt-out is requested in writing.
